Student Accounts Specialist, Student Accounts, Both Campus Locations



Job Description:

The Student Accounts Specialist provides direct support to the Student Accounts Department in the areas of billing, technological support with payment gateway, cashiering and reconciliations, collections, institutional loan management, student support, and overall operations at both campuses. Duties include monitoring billing for all programs, oversight of all delinquent A/R for active and inactive students, collection agency referrals and institutional loan management. Other responsibilities include training new staff and student workers as well as proactive outreach with various departments to positively impact retention and representing the office at events throughout campus.

Position Hourly Range: $26.46 - $28.57

Hiring salary can be above the posted pay range if candidate's qualifications are determined to be above the minimum requirements of the position description.

Duties and Responsibilities:

1. Manages active and non-active student account A/R outreach and collections, including timely and thorough review of all accounts for accuracy, letters and phone calls to delinquent accountholders, tracking of collection notices/attempts, settlement negotiations, and settlement processing.
2. Monitors collection agency placement and activity. Tracking agency performance through quarterly analysis and sharing timely reports with the Director/Assistant Director of Student Accounts and AVP/Controller.
3. Monthly analysis of aging balance with detailed notes of account status and a quarterly reporting of pre-collection activities and results.
4. Provides advisement to students with a desire to return/continue their education by helping them overcome financial obstacles through payment options and campus resources (Admissions, Academic Affairs, Student Affairs, Financial Aid, Registrar).
5. Provides cashiering support in the absence of an associate and for inactive student payments toward their balance.
6. Manages servicing of all institutional loans, which includes entrance and exit counseling requirements, ensuring advance files are transmitted correctly, and identifying and resolving any discrepancies.
7. Performs monthly reconciliation and outreach for institutional loans, which includes outreach to delinquent account holders and preparing aging loans for potential write-offs.
8. Responsible for identifying and resolving billing errors through the use of enrollment reports, performing complex systems administration functions, and working with OIT as needed. Execute and supervise patch testing requested by IT.
9. Works collaboratively with coordinators, associates, and student workers on intentional and proactive outreach to active students with unresolved balances. Outreach conducted via phone, email, and virtual/in-person meetings.
10. Acts as liaison between Student Accounts and ACI Payments, ECSI Recover Select (or any future payment gateway system) for account issues and routine submission of requests for payment plan setup.
11. Updates and maintains content published on external and internal websites to ensure material is relevant and accurate.
12. Coordinates the proactive outreach with other departments regarding students identified as high risk for delinquency and at risk of not persisting.
13. Coordinates and assists with daily departmental operations, including posting tuition discounts, posting of account adjustments, assisting with vault reconciliations, and bank deposit preparation as needed.
14. Assists with oversight of the Student Service Center and Student Accounts Office by ensuring effective coverage and resources are available.
15. Serve as a team leader within the department by providing training, guidance, and support to Student Accounts Associates. Assist with the recruitment, selection, and training for student employees.
16. Represents the Student Accounts Department in various community meetings and serves on committees as needed.
17. Special projects as assigned.

Other Duties and Responsibilities:

1. Participates in various ongoing and temporary teams.
2. Provides ad hoc reporting to Finance and Administration leadership.
3. Assists with training and development of Student Accounts Staff.
4. Performs other job-related duties, as assigned.

Requirements:

Knowledge:

• Good working knowledge of Student Accounts operations and interrelationships to other Student Services, as well as knowledge of finance in a higher education environment.
• Basic knowledge of general accounting concepts and principles related to accounts receivable, student loans and collection techniques, customer service best practices, automated receivable and cashiering systems, compliance-related reporting and regulations, and FERPA (proxy) privacy laws.

Abilities and Skills:

• Ability to interpret vision and strategy statements from the Director of Student Accounts and motivate employees to reach top performance and to professionally and effectively communicate with a diverse University community.
• Ability to effectively manage and evaluate the work of staff; assign duties and responsibilities; oversee the work assignments to ensure work is done accurately and timely; and provide personnel development.
• Ability to interpret and apply applicable rules, regulations, policies and procedures and analyze situations accurately to adopt effective courses of action.
• Ability to maintain personal composure in high-stress situations as well as establish and maintain effective working relationships with others.
• Skilled in defining problems, collecting data, establishing facts, drawing valid conclusions, and preparing clear, concise reports.
• Strong organization and prioritization, negotiation, management, customer service, oral/written communication, and interpersonal skills.
• Skilled with spreadsheet, word-processing, and presentation applications (Excel, Word, and PowerPoint).
• Skilled at solving basic mathematical equations.

Education:

• Bachelor's Degree in Business Administration, or a closely related field, or a combination of degree and equivalent experience required.

Experience:

• Minimum of 3 years experience of full-time progressively responsible experience in the administration of student disbursements and accounting, collection, or cashiering functions.
• Experience must include at least 1 year in a managerial or supervisorial role.

Additional Information:

Work Location: Both Chalon Campus (West Los Angeles) and Doheny Campus (Downtown Los Angeles). Remote work is available when needs allow.
