Essential Responsibilities:
Job Summary:
The Procurement Specialist leads the procurement of products and services for the Kaiser Permanente Bernard J. Tyson School of Medicine (KPSOM). The Specialist provides service to KPSOM customers, creates purchase requisitions, and coordinates with the KP Buyers assigned to KPSOM. The Specialist initiates process improvements and participates in projects related to the KPSOM Supply Chain for efficient and cost-effective purchasing methods. The Specialist works under general direction, referring to policies and practices for guidance, aiding compliance with KPSOM policies, and adapting purchasing strategies for KPSOM consistent with the overall KP sourcing strategy, ensuring KPSOM receives the best value for dollars spent on products and services while defining KPSOM purchasing processes and practices.
Essential Responsibilities:
- Strategic Supplier & Process Management:
- Supports equitable, inclusive, and diverse contracting and payment for emerging initiatives within the School.
- Responsible for supplier relationship management and educating collaborators on the KP vendor setup processes.
- Works with the Finance and Procurement leadership and internal collaborators to adapt and implement a purchasing strategy for the school that is consistent with the overall national and regional sourcing strategy and drives operational process improvements.
- Develops contract and procurement guidelines in collaboration with KPSOM Finance and the KP legal department.
- Develops and negotiates contracts for products and services not contracted through KP National Procurement Operations and submits contract sourcing services requests through KP Sourcing Services.
- Requisition Management:
- Tracks purchase orders, processes the related invoices, resolves payment match exceptions to enable vendor payment, and tracks payment resolution for purchase order invoices.
- Maintains in-depth knowledge to support KPSOM capital purchases, including medical capital and equipment, such as those required by the Simulation Center and the Anatomy Resource Center.
- Utilizes low-unit-of-measure replenishment to stock KPSOM Simulation Technology exam rooms.
- Training & Advisement:
- Participates in multiple committees and teams to develop and implement sustainable operation efficiencies and customer focus and ensures compliance with KP purchasing regulations in support of accreditation activities.
- Serves as subject matter expert for KPs OneLink materials information systems (MIS) and reporting and develops and conducts training for KP online ordering and contracting processes.

Basic Qualifications:
Experience
- Minimum of five (5) years of procurement, supply chain, business operations, project management or related experience with experience in a combination of purchasing, contracting, materials management, or other related areas.
Education
- BS/BA degree in Supply Chain, Business, Finance, or related discipline, or four (4) years directly related experience
License, Certification, Registration

Additional Requirements:
- Ability to instruct peers and leadership on procurement process steps and compliance issues
- Demonstrable understanding of process flows
- Demonstrable organization and collaboration skills
- Demonstrable capability to solve problems, identify opportunities and examine issues further where research is required
- Proficiency in Excel and data base management, Microsoft Office Suite, PowerPoint and process mapping software such as Visio
- Working knowledge of collaboration software such as Teams or Zoom and Asana
- Previous experience with material management systems required
- Proficient in a variety of software applications with the ability to develop complex spreadsheets and write professional business communications
- Significant knowledge of contracts/contracting methods including RFI/RFP development, proposal evaluation, bidding practices, and shared risk agreements
- Significant knowledge of products and services and their market environment within the scope of a procurement and logistics program.
Preferred Qualifications:
- Seven (7) years of procurement, supply chain, business operations, project management or related experience with experience in a combination of purchasing, contracting, materials management, or other related areas.
- Healthcare or Higher Education experience.
- Electronic database development and information systems implementation experience
- Supplier relationship management experience preferred.
- Masters Degree in Business Analytics, Finance, Healthcare Administration, Business Operations or related field.
- Certified Associate in Project Management (CAPM), Project Management Professional (PMP) , Six Sigma, Purchasing Professional or related certification.
This role pays an estimated base salary of $81100 - $104940 / year plus incentive pay, robust benefits and other support for those who are eligible.
