The Division of Biokinesiology and Physical Therapy is seeking a self-motivated Administrative Assistant II who will serve as Administrative Assistant to the Associate Dean. This position plays a critical role in supporting the Associate Dean & Chair. The incumbent will be responsible for providing high-level administrative support for the Associate Dean in all areas of his or her responsibility.
This position provides a broad range of administrative functions such as:
â¢ Manages calendar for Associate Dean (AD) â¢ Assists AD in preparing agendas for regular meetings (e.g. faculty meetings) â¢ Assists AD in preparing agendas, scheduling, and providing administrative support for a variety of ad hoc meetings with faculty and staff â¢ Assists AD in drafting routine memos & email communications â¢ Assists AD in organization of management of files, especially for faculty affairs â¢ Assists AD in ongoing management of Division accounts (with Division business officer) â¢ Assists AD in planning annual budget (with Division business officer) â¢ Assists AD with management of ongoing renovation projects; communicates with Facilities Management Services as appropriate â¢ Assists AD in preparing reports for School of Dentistry and USC central administration â¢ Develops and maintains infrastructure for annual faculty review process for full-time faculty â¢ Interfaces with Division Administrator to provide support for administration of Department â¢ Maintains communications with administrative offices in School of Dentistry and central USC administration â¢ Assists AD with administrative functions related to teaching and professional activities and communications with other physical therapy programs
The successful candidate will be comfortable working in a fast-paced environment and be adaptable in the face of changing priorities and fluctuating workloads. This individual will also possess a proactive work style that anticipates the needs of his/her supervisors. It is critical for the candidate to have demonstrated the ability to follow through and complete routine tasks, demonstrated the ability to prioritize and multi-task, and possesses high level of attention to detail. Additionally, the successful candidate should have strong verbal and communications skills and display high proficiency with Microsoft Office Suite. Bachelor's degree is preferred.
