Right now, our Conference Services team is looking for an AV professional to join their team as a Media Services Coordinator!
What will you be doing in this role?
Book all centralized conference facilities utilizing EMS scheduling software; receive and book calls and emails for rooms, a/v equipment, and any other conference-related service. Respond to clients' requests within a 24-hour period or sooner and maintain documentation of all requests, changes to reservations, providing confirmations in a timely manner. Constantly finds ways of streamlining the scheduling process through client interaction, colleague participation, and personal experience.
Design and execute drawings of special room set-ups. Maintain graphic database (RoomViewer software) of all physical rooms, patios, rooftops, lobbies, bridges, entryways, etc. utilized by Conference Services in support of events on campus of the medical center. Work closely with Safety Department in obtaining fire marshal permits as required. Responsible for maintaining sufficient egress during events, assuring CSMC is never in violation of fire or health codes.
Assist Supervisor and Coordinators with major events at the medical center, both within conference centers and elsewhere on campus. Participates in planning meetings and orchestrates technical a/v aspects of major events. Coordinates the varied elements of affected departments and supervises all technical personnel. Responsible for problem-solving and troubleshooting related to live presentations. Creates timelines for outside contractors for equipment rentals, coordinating delivery, rehearsal, and strikes as time and cost-effective as possible.
Develop and oversee a precise timeline for events, assuring compliance with each listed task within an appropriate timeframe for completion. Oversee event management--coordinate pre-cons, disseminate information personally and via EMS; follow-up with debriefing meetings for larger conferences, being proactive and insightful with suggestions for continuous service improvement.
Oversees the physical condition of Conference facilities, particularly as it supports an audiovisual element. Liaisons with EIS to assure that a/v signals are contiguous, reliable, clean and meets industry standards. Maintains a/v equipment; daily operation, periodic repair, consistent preventative maintenance, and ongoing cleaning.
Develops and monitors work schedules and assignments for self, staff, per diems, and subcontractors. Conducts staff training, and makes recommendations for interviewing, hiring and training of per-diem staff assigned to this unit. Coordinates per diem scheduling with other Coordinator. Keeps accurate time and attendance records for per diems.
Responsible for assisting in the annual standing meeting and major event bookings for following the calendar year, updating client/department database, distributing meetings according to attendance, institutional "order", venue availability, and any other relevant factors.
Proposes capital expenditure budget for media cost centers, generates multiple quotes for large purchases, monitors expenditures, works with outside vendors for information and cost containment; assists in developing and monitoring operating and personnel budgets for Conference Services.
Conducts research and evaluation for media products, facility upgrades, and technological support. Works with Team Lead, Event Management to continually perfect service delivery and streamline costs
Monitors productivity for the area and meets production deadlines; responsible for continuous quality improvement in Conference Services
Provides excellent customer service by assuring that major events are the responsibility of the coordinator with assistance from Sr. Media Specialists and per diem staff.
Liaise with EVS, Plant Operations, Facilities Management, Security, Safety, Hospitality, Catering, and EIS in the goal of facility maintenance, conference room cleanliness and operations, furniture stability, customer safety, and event management.
