The Viterbi Schoolâs Office of Admission and Student Affairs is seeking an Assistant Director to join our Academic Services team.Â The Academic Services team works closely in advising undergraduate engineering students, developing and implementing a variety of workshops, programs and activities to support students academically, maintaining academic records and databases, and developing communication and marketing plans.Â The Assistant Director will have primary responsibility for working with a specific population of undergraduate student advisees as well as to assist in marketing, coordinating and implementing a variety of co-curricular programs for undergraduate engineering students.Â The ideal candidate must have excellent oral and written communication skills, be detail oriented, organized, creative and skilled in project management.
The individual will:
Provide academic counseling for undergraduate students.Â Advise on matters of curriculum, course and degree requirements, transfer credit evaluation, and graduation counseling and clearance.Â Monitor student progress and update database information.
Evaluate student problems, academic, administrative or personal and refer student to appropriate student services office for additional support. Liaise with other offices on behalf of students to facilitate problem resolution.
Coordinate development, production and distribution of materials used for marketing and communicating events and services to targeted population. Â Assist in the development of content and in maintenance of program website.Â Maintain general email account related to Academic services.
Manage communication plans related to academic services for undergraduate population.
Assist in the development and implementation of workshops, programs, and special events.Â Â Assist with all logistics involved with event planning, including securing sites, ordering supplies and refreshments, set-up and breakdown, and preparing all required administrative paperwork related to a specific event.Â Gather data and prepare reports assessing program activities and results.Â Gathering feedback from students to assist in improving processes.
Work closely with the Director, Academic Services in developing and producing annual curriculum guide for undergraduate students.
Assists in development of program budget for workshops and activities.Â Â Tracks and monitors related expenses.
Assist with management of orientation programs for undergraduate students.
Make formal presentations at related workshops and seminars.
Knowledge of USC programs and services.Â Â Experience with database systems.Â Â Strong organizational skills and ability to set priorities in order to complete assignments within deadlines.Â Ability to be flexible and adaptable in the face of changing priorities and fluctuating workloads.Â
