Job Summary The Director of Student Programming is responsible for managing all student affairs functions in the division of Physics, Mathematics, and Astronomy (PMA). The program director will work closely with faculty, including the division chair, graduate and undergraduate option representatives and executive officers to support the student programs within the division. For support of graduate student programming, this includes developing improved methods of tracking graduate student academic progress, meeting on a regular basis with students to review their status and identify problems, and to bring issues to the attention of relevant faculty. In addition, the director will work with faculty to plan and execute outreach and visiting day activities for prospective and admitted graduate students, to connect students who are experiencing difficulties to appropriate resources, and to generally improve the quality of life for graduate students in Physics, Mathematics and Astronomy. For support of undergraduate student programming, this includes overseeing the administrative support of courses and student teaching in the division, and coordinating student activities to improve the academic experience for undergraduate students taking courses in PMA, majoring in PMA, or conducting undergraduate research in PMA.
Job Duties - The director of student programs will actively develop and implement programs to improve the quality of student life through regular tracking of student progress, organizing social activities, facilitating career mentoring, and providing outreach to and support for students - This position plays a strategic role in influencing and recommending design and implementation of the student programs to ensure that their goals and objectives are met at the departmental, divisional, and Institute levels - Counsel students from beginning to end of their degree programs. Play a key role in the Institute's Safety Net in observing students and taking appropriate actions - Oversee student program administrative staff who are responsible for all administrative student affairs tasks - Manage the development and monitoring of research assistantships, teaching assistantships and fellowship appointments including financial projections and quarterly estimates of allocations - Manage graduate and undergraduate teaching, including teaching assignments, coordinate teaching assistant training, monitor performance of teaching assistants and together with executive officers, option representatives, and/or course instructors intervene if necessary - Play a key advisory role with executive officers and faculty option representatives; frequent interaction and collaboration with faculty, students, and division staff - Serve as a liaison to the student-facing/serving offices on campus, including Dean of Graduate Studies, Dean of Undergraduate Studies, Registrar, Center for Teaching, Learning, and Outreach, Center for Diversity, Student-Faculty Programs, Alumni Association, Financial Aid, Development, Career Center, etc. - Manage the graduate admissions processes in each of physics, math, and astronomy including the administration of graduate applications; organize and prioritize applications and tracks deadlines. Manage the admitted graduate student visits - Coordinate initiatives to promote and enhance visibility of graduate and undergraduate academic programs as well as student research opportunities. Identify and utilize various sources and media to advertise and communicate programs for students both on- and off-campus including internships, fellowships and scholarship opportunities - Serve as a resource regarding student services, including Health and Counseling Center and Student Affairs - Help establish a student culture where diversity is encouraged and where students learn to respect differences and exercise leadership - Create and implement programs related to student engagement and outreach - Develop systems/metrics designed to improving tracking of academic progress to allow for early intervention if/when problems are identified - Other duties as assigned
Basic Qualifications - Master's degree in STEM field or Master's degree in Education - 5+ years increasingly responsible experience in student affairs management and academic administration - The successful candidate will have exceptional analytical and organizational skills, excellent communication skills, a strong service orientation, and an ability to exercise independent judgment while working in a team-oriented environment - Demonstrated administrative acumen, working in higher education, possessing a demonstrated commitment to multicultural, gender & individual diversity - Excellent counseling and advising skills are essential to successful performance in this role, as is the ability to make decisions in a fair, consistent manner - Proven ability to work with and engage faculty, staff and students effectively and with diplomacy and discretion - Strong communication skills, both verbal and written, are critical. A strong interest in student welfare and a personal commitment to enhancing their development is also required
Preferred Qualifications - PhD in STEM field or PhD in Education - 8+ years increasingly responsible experience in student affairs management and academic administration - Familiarity with Caltech's mission, an authentic curiosity about science and technology, and a strong appreciation for the extraordinary intellectual accomplishments of Caltech students - Previous experience in an academic setting with a STEM focused curriculum
