The Legal Secretary provides administrative services in support of the General Counsel’s office
Support General Counsel with respect to typing and filing legal documents,maintaining legal database(s), and assisting with complex transactional collaborations and other projects, litigation cases, and regulatory inquiries and compliance matters.
Provide administrative services in support of the university’s insurance and risk management programs, including obtaining certificates of insurance, verifying that the university’s insurance policies comply with contract requirements for third party projects, ensuring release forms are executed (as necessary), working with General Counsel and the university’s insurance broker in the reporting and processing of claims, updating the schedule of values, and preparing annual insurance renewal documents.
Assist General Counsel with preparing the annual budget for the General Counsel’s office, submitting expense reimbursement requests, processing outside counsel invoices for payment, reconciling outside counsel invoices with insurance coverages and payments, and interfacing with outside counsel staff with respect to billing procedures for insurance and non-insurance cases.
Coordinate with General Counsel on scheduling of meetings, conference calls and legal conferences and seminars.
Execute special projects as requested and provide timely follow-up reports until projects are completed.
Handle proprietary and privileged information with absolute confidentiality.
Independently create spreadsheets, correspondence, PowerPoint presentations, and other materials.
Order and maintain supplies.
Assist, as needed, other support staff in producing and distributing materials for Board of Trustees and other university meetings and events.
Perform other related duties, tasks and responsibilities as assigned.
Minimum five years’ experience as legal secretary and/or executive assistant with substantial experience in typing legal agreements and other documents. In addition, experience with certificates of insurance and claims processing is desirable.
Typing skills of 75 net WPM and proficiency in transcribing text from dictation machines.
Proficiency in Word, Excel and PowerPoint.
Proficiency with converting pdfs, Web content and other formatted documents into Word.
Substantial experience with redlining legal documents and maintaining version controls of documents.
Must possess excellent skills to prioritize and perform multiple tasks, work under pressure with shifting priorities, and meet deadlines.
Must work effectively with a wide variety of people in a diplomatic and respectful manner.
Experience in receiving and maintaining the confidentiality of technical, financial, and other sensitive information.
Strong written and verbal communication skills, excellent customer service skills, and exceptional attention to detail.
Previous experience working with highly confidential information.
Understanding of and commitment to the spiritual mission of Point Loma Nazarene University.
Experience in working with Workday or other Enterprise Resource Planning systems is desirable.
PHYSICAL REQUIREMENTS The work is primarily sedentary and may require sitting for extended periods of time. Use of computer equipment: computer keyboard, mouse, and monitor. Vision to read documents, email and other correspondence, and reports on paper and computer monitor. Hearing and speaking to communicate effectively with others in person and by phone. Will also stand, stoop, push, pull, and lift up to 10 lbs throughout the day.
