Job Requisition Number: 25870. Cal Recreational Sports is dedicated to enhancing the knowledge, wellness, fitness and quality of life for students, faculty, staff and the community. In addition to the 28 sport clubs and 600 intramural sports teams, the department offers a wide range of recreational activities and state of the art equipment, including a complete package of fitness activities, from individual and group classes to massage therapy and personal training.
The Facility Scheduling and Events Management unit plays a key role in securing, planning and hosting all Department of Recreational Sports facilities and events including: home competitions for all 28 Sports Club teams, special marketing events, large annual department events (ie. Caltopia), campus groups, and other events as indicated.

Involves the planning and organizing of campus event activities, including managing logistics such as facilities, tickets, audience management activities, concessionaires, caterers, and vendors, and facilitation of communication and services with speakers and facility maintenance staff; or provides technical support of these activities.
Key Responsibilities: •Manages and assists in the planning of department programs and special events. Assist in the coordination of the facility rental program. Assist in the development of event budgets. Manage inventory. Staffs events. •Assist in developing employee schedules and work assignments. Supervise employee work crews at events and other job assignments. Conduct orientations and trainings for student workers. Ensure safe working conditions and implement health and safety policies, and as appropriate, personnel policies in the daily work setting. Identify and suggest corrective action as necessary. •Coordinate the scheduling process of all facilities for practices, competitions, and recreational use; update facility schedules as needed Assist with the development and implementation of written policies regarding use priorities for all facilities Maintains guest lists and coordinates mailing of invitations. •Other duties as assigned.Knowledge and Skills: •Knowledge of concepts and principles of effective event planning and production and public relations. •Working knowledge of the campus, its mission, vision, goals, objectives, achievements and infrastructure. •Working organizational skills to effectively coordinate and track multiple details. •Written and interpersonal communications skills, including tact and political acumen, and skill in effectively representing the campus to its publics. • Excellent customer service attitude and skills. •Ability to tolerate change and ambiguity; able to adapt to new information and/or procedures. •Good judgment and effective decision-making and problem resolution skills, including skill to recognize and deal effectively and appropriately with real and potential problem areas, including skill to determine the issues/problems that need to be brought to the attention of higher level staff and/or management. Education/Training: •Bachelors degree in related area and/or equivalent experience/training Licenses or certifications: •CPR/First Aid certifications are required but can be obtained through the department before hiring.
